The shift to hybrid work has left many offices and homes with a collection of video conferencing equipment that has either been replaced by newer models or is no longer needed now that work patterns have settled. Webcams, conference cameras, speakerphones, video bars, and dedicated room systems all fall into the e-waste category when they reach end of life.

The Post-Pandemic Equipment Surplus

During 2020 and 2021, businesses rushed to equip every meeting room and every employee’s home office with video conferencing gear. Now, several years later, much of that equipment is being replaced, consolidated, or retired as organisations refine their hybrid work setups.

First-generation pandemic purchases, often bought in a hurry based on whatever was available, are being swapped out for more capable and integrated systems. Home office webcams issued to employees are being returned as companies standardise on laptop cameras or higher-quality alternatives. Meeting room systems are being upgraded as vendors release newer platforms.

The result is a wave of video conferencing e-waste that needs proper disposal.

Types of Video Conferencing Equipment

USB webcams are the simplest category. These small devices contain a camera sensor, lens assembly, circuit board, microphone, and USB cable. They are straightforward to recycle through standard e-waste channels.

Conference cameras and video bars (Poly Studio, Jabra PanaCast, Meeting Owl, Logitech Rally) are more complex. They combine multiple cameras, microphones, speakers, and processing hardware in one unit. They often contain significant computing power with dedicated processors and memory.

Conference speakerphones (Jabra Speak, Poly Sync, etc.) contain speakers, microphone arrays, circuit boards, and often rechargeable lithium batteries for wireless operation.

Dedicated room systems (Cisco Webex Room, Poly Studio X, Microsoft Teams Rooms) are essentially purpose-built computers with cameras and audio systems. They contain hard drives or SSDs, processors, RAM, and may store network credentials and meeting history.

Data consideration: Dedicated room systems and some advanced conference devices can store network credentials, calendar data, directory information, and meeting logs. Before disposing of these devices, perform a factory reset through the admin interface to clear stored configuration and user data.

Data Security Considerations

Most simple webcams and speakerphones do not store data, making them straightforward to recycle without data security concerns. However, more advanced devices may retain information that you should clear before disposal.

Room systems and video endpoints typically store Wi-Fi passwords or Ethernet configuration, SIP/H.323 registration credentials, calendar integration credentials, address book contacts, call history and logs, and software licences tied to serial numbers.

Before recycling any networked video device, check the admin interface for a factory reset option and use it. For devices managed through a cloud platform (like Cisco Control Hub or Poly Lens), deregister the device from the management platform first, then perform a local factory reset.

Recycling Options

Professional e-waste recyclers accept all types of video conferencing equipment. For businesses disposing of multiple units or expensive room systems, a professional service ensures proper handling and can provide disposal documentation.

Council e-waste drop-off points are suitable for small items like webcams and speakerphones. Most councils will accept these alongside other small electronics at transfer stations.

Manufacturer programs vary by vendor. Some video conferencing manufacturers offer take-back programs, particularly for enterprise room systems. Check with your vendor or reseller.

Resale is worth considering for newer equipment that still functions well. Video conferencing gear that is less than two to three years old often has reasonable resale value, particularly for popular brands. USB webcams, Jabra speakerphones, and Poly devices all have active secondary markets. Just remember to factory reset before selling.

The Materials Inside

Video conferencing equipment contains the same basic materials as other consumer electronics: circuit boards with copper traces and precious metals, plastic housings, glass lenses, metal mounting hardware, and in wireless devices, lithium batteries.

The camera sensors in webcams and conference cameras contain semiconductor materials including silicon, germanium, and sometimes indium. While these are present in small quantities per device, they are part of the broader argument for recycling electronics rather than sending them to landfill, as these materials are finite and energy-intensive to produce.

Speakerphones and video bars contain magnets in their speakers (typically neodymium, a rare earth element) and copper voice coils. The magnets in particular are valuable and recyclable.

Batteries in Wireless Devices

Many modern conference speakerphones and some cameras operate on rechargeable lithium-ion or lithium-polymer batteries. These batteries are almost always sealed inside the unit and should not be removed by the user.

When recycling battery-powered conference devices, hand them to an e-waste recycler intact. The recycler will safely separate the battery for specialised processing. Do not place battery-powered devices in general waste, as the lithium battery fire risk in waste streams is real and well-documented.

Practical tip: When upgrading video conferencing equipment across your organisation, plan the disposal of old equipment as part of the upgrade project, not as an afterthought. Collect old devices as new ones are deployed, and arrange a single e-waste collection once the rollout is complete. This prevents old equipment from being stuffed in drawers and forgotten.

Reducing Future Video Conferencing Waste

The rapid replacement cycle many organisations experienced with pandemic-era video equipment highlighted the importance of making thoughtful purchasing decisions upfront. Buying quality equipment from established vendors, choosing platforms with strong software update track records, and selecting modular systems where components can be upgraded independently all help reduce the frequency of wholesale replacements.

Room systems that receive regular firmware updates and support current standards will last longer than budget devices that are abandoned by their manufacturers after a year or two. The upfront cost difference is often offset by longer useful life and lower total cost of ownership.
