The Donation Impulse

When businesses retire IT equipment, donation often feels like the obvious responsible choice. Rather than recycling a laptop that still works, why not give it to a school, charity, or community organisation that could use it? The intention is good, and in many cases donation is an excellent outcome. But it’s not always the best option, and well-meaning donations can sometimes create problems for the recipients, expose the donating organisation to data security risks, or simply delay the inevitable trip to the recycling stream.

Understanding when donation makes sense and when it doesn’t helps businesses make better end-of-life decisions for their IT equipment. The goal should be maximising the useful life of every device while managing risk appropriately.

When Donation Works Well

Donation is most beneficial when the equipment is genuinely useful to the recipient. This means the devices should be recent enough to run current software, have adequate specifications for the intended use, and be in good physical condition. A three-year-old business laptop with 16GB RAM and an SSD is a valuable asset for a community organisation or school. It can serve productively for another 3-4 years with minimal issues.

Successful IT donation programs typically share several characteristics:

Equipment is tested and functional. Every device has been verified to work properly before it’s handed over. Broken or unreliable equipment creates a burden rather than a benefit for the recipient.

Data has been professionally destroyed. All organisational data has been removed using certified data destruction methods, with documentation to prove it. A factory reset alone is not sufficient for business equipment that has handled sensitive data.

Software is properly licensed. The operating system and any bundled software are legitimately licensed for the new owner. Donating a device with unlicensed software passes a compliance problem to the recipient.

The recipient has the capacity to use and maintain it. The receiving organisation has the technical knowledge or support to set up, use, and eventually dispose of the equipment. Donating to an organisation that lacks IT support can result in equipment sitting unused in a cupboard.

Claiming a $2,000 deduction on a five-year-old laptop with a fair market value of $200 creates tax compliance risk.

The Data Security Non-Negotiable

Regardless of where equipment goes after your organisation, data destruction must happen before the device leaves your control. This applies to donation, resale, and recycling equally. The data breach risks from improper disposal are the same whether a device goes to a charity, a second-hand dealer, or a recycling facility.

For donated equipment, the data security conversation is particularly important because the devices will continue to be used by someone else, potentially for years. Any recoverable data on donated devices has a much longer exposure window than equipment heading directly to recycling.

Alternatives to Direct Donation

If your equipment has genuine remaining value, there are often better pathways than direct donation:

ITAD providers assess each asset, maximise value recovery through appropriate channels (refurbishment and resale for viable equipment, materials recovery for the rest), and provide certified data destruction and environmental compliance documentation. The value recovered can be donated to charity as cash, which is often more useful to the recipient than specific IT equipment.

Making the Right Choice

The decision tree for retired IT equipment should follow a hierarchy. First, can the equipment continue in productive use within your organisation through maintenance or redeployment? If not, can it be refurbished and resold, generating value recovery? If resale isn’t viable, can it be genuinely useful to a donation recipient? And if it’s truly past its useful life, responsible recycling is the right path.

Donation is a valuable option in the middle of this hierarchy, but it works best when it’s a deliberate choice based on equipment condition and recipient need, rather than a default action driven by the discomfort of recycling something that still turns on. The most responsible approach considers what’s actually best for the equipment, the recipient, and the environment, not just what makes the donating organisation feel good.
