When devices are replaced, this data needs proper handling to protect clients and comply with regulatory obligations.
Real Estate Data Sensitivity
Real estate agencies collect extensive personal information as part of standard operations. Sales transactions involve buyer and seller identification documents, financial details, and settlement information. Property management involves tenant applications containing employment details, income information, and references. Trust accounts handle significant sums of money with associated financial records. CRM systems contain client contact details, property preferences, and communication histories.
This information is subject to the Privacy Act and state-level real estate regulations. The Victorian estate agents’ legislation imposes specific record-keeping and confidentiality requirements that extend to how data is handled at end of life.
Apply certified data destruction to all devices that have stored client information. This includes office computers, agents’ mobile devices, tablets used for open inspections, and any device with access to the agency’s CRM or property management system.
Agent Mobile Devices
Real estate agents increasingly work from mobile devices, accessing CRM systems, photographing properties, communicating with clients, and managing listings from their phones and tablets. These devices contain a wealth of client data and are frequently replaced or upgraded.
Implement a clear process for collecting and processing agents’ devices when they upgrade or leave the agency. Mobile devices should be wiped via your MDM solution and then undergo certified destruction or sanitisation through your ITAD provider. Given the high turnover in the real estate industry, this process should be standardised and easy to execute.
Multi-Office Operations
Real estate groups with multiple offices face the standard multi-site ITAD challenges. Each office generates a modest volume of end-of-life equipment that may not individually justify a dedicated ITAD collection. Consolidate equipment from multiple offices for batch processing, either at a central location or by scheduling the ITAD provider to collect from several offices in a single run.
Trust Account Equipment
Equipment used for trust account management requires particular care. Trust accounts are subject to specific regulatory requirements and audit obligations. Ensure that trust account data is properly migrated to replacement systems before old equipment is disposed of, and that destruction documentation is retained alongside trust account audit records.
