Standalone scanners and document feeders were once essential office equipment, but their role has been largely absorbed by multifunction printers and smartphone apps. Types of Scanners

Flatbed scanners are the most common type. They contain a glass scanning bed, a CCD or CIS image sensor mounted on a motorised carriage, a fluorescent or LED light source, a circuit board with processing electronics, and a plastic and metal housing. Older flatbed scanners with fluorescent light sources may contain small amounts of mercury in the lamp.

Sheet-fed scanners and document feeders are designed for high-volume document scanning. They contain similar imaging components to flatbed scanners plus paper feed mechanisms with rubber rollers, additional motors, and more complex circuit boards. High-end models may contain internal storage (hard drives or flash memory) that could retain images of scanned documents.

Portable and handheld scanners are compact devices that often run on rechargeable batteries. They contain similar imaging technology in a smaller form factor, with the addition of a lithium battery that requires proper handling during disposal.

Film and photo scanners are specialised devices for digitising negatives, slides, and printed photographs. They contain higher-quality optical components but follow the same recycling principles as standard flatbed scanners.

Data Security: A Hidden Risk

Most basic flatbed scanners do not store scanned images internally, as they stream data directly to the connected computer. However, high-end document scanners, particularly network-connected models used in business environments, may contain internal storage that retains copies of scanned documents.

If your scanner is a network-connected model, check the manufacturer’s documentation to determine whether it has internal storage. If it does, perform a factory reset through the device’s admin interface before disposal. This is especially important in industries that handle sensitive documents, such as legal, medical, financial, and government organisations.

The glass scanning bed is one of the more notable components. Scanner glass is typically high-quality optical glass that is heavier and different in composition from standard window glass. It needs to be separated during recycling and processed through appropriate glass recycling channels.

Older scanners with cold cathode fluorescent lamps (CCFLs) contain small amounts of mercury that require careful handling during dismantling. Newer scanners using LED illumination do not have this concern.

How to Recycle Scanners

Scanner recycling follows the same channels as other office electronics:

Council e-waste drop-off points accept scanners at transfer stations. Simply drop them off in the e-waste area. No special preparation is needed for basic flatbed scanners without internal storage.

Professional e-waste recyclers handle scanners as part of their standard equipment streams. If you are arranging a pickup for other office equipment, include retired scanners in the collection.

Bundled disposal is the most practical approach for most organisations. When you do your next office e-waste cleanout, sweep the building for scanners, printers, and other retired peripherals and include them all in a single collection.

Before You Recycle: Consider Reuse

Functional scanners can be useful to someone else even if your organisation no longer needs them. Schools, community organisations, and charities that are digitising paper records may welcome a donated scanner, particularly a sheet-fed model that can handle volume.

Artists and photographers sometimes seek out specific scanner models for creative work, so a quick listing on a community marketplace might find your old scanner a new home.

If the scanner is broken, outdated, or no longer supported by its manufacturer’s drivers, recycling is the appropriate path. There is limited value in donating equipment that the recipient will struggle to use.

The Shift Away from Standalone Scanners

The decline of standalone scanners is itself an interesting e-waste story. As multifunction printers absorbed scanning functionality and smartphone apps made casual document scanning effortless, the market for dedicated scanners has shrunk considerably. This means many organisations have scanners in storage that were replaced years ago and have been sitting idle ever since.

If that describes your situation, there is no better time than now to recycle them. Equipment that sits in storage for years does not become more recyclable with age, and the sooner it enters the recycling stream, the sooner the materials can be recovered and reused.

Office cleanout tip: When you finally tackle that storeroom full of old IT equipment, scanners are often among the forgotten items. Check cupboards, under desks, and in meeting rooms for scanners that were quietly retired but never disposed of. Include them in your e-waste collection alongside everything else.
