The most sustainable device is the one you don’t need to replace. Every strategy in this article works from that principle, starting with the changes that have the biggest impact and working down to the smaller wins that add up over time.

Extend the Life of Existing Equipment

The single most effective way to reduce e-waste is to use equipment longer. Many businesses replace IT assets far earlier than necessary, driven by fixed refresh cycles rather than actual device condition. A laptop on a three-year refresh cycle might have years of useful life left, particularly if it has been well maintained.

Consider shifting from time-based replacement to condition-based replacement. Instead of swapping every laptop at the three-year mark regardless, assess each device individually. Does it still meet the user’s performance requirements? Is the battery holding a reasonable charge? Are there hardware issues that can’t be cost-effectively repaired? If the answer to most of these is positive, the device can stay in service.

  • Is the device designed to be repaired, or is it sealed and disposable?
  • Can components like RAM, storage, and batteries be upgraded or replaced?
  • Does the manufacturer offer extended warranty options?
  • How long will the device receive software and security updates?
  • Is the manufacturer part of a take-back or recycling program?
  • What is the EPEAT rating or equivalent environmental certification?

Some manufacturers are designing products specifically for longer lifecycles and easier repair. Choosing these over the cheapest option often costs slightly more upfront but saves substantially over the total cost of ownership when you factor in fewer replacements and lower disposal costs.

Implement a Repair-First Culture

When a device has a problem, the default response in many organisations is to replace it. Building a repair-first culture means making repair the automatic first response, with replacement reserved for situations where repair isn’t practical or cost-effective.

This requires a few things. IT teams need access to repair tools and parts, or relationships with third-party repair providers. There needs to be a clear threshold for when repair makes sense versus replacement, often based on whether the repair cost exceeds a certain percentage of the replacement cost. And there needs to be organisational buy-in that keeping a slightly older device in service is acceptable.

Standardise Your Fleet

Fleet standardisation means using fewer models and brands across your organisation. A standardised fleet is easier to maintain, easier to repair, and generates less waste because spare parts from decommissioned units can be used to keep remaining units running.

When you have 15 different laptop models across the business, each needs its own spare parts, its own chargers, and its own support documentation. Reducing that to two or three models simplifies everything. When one unit is decommissioned, its RAM, SSD, battery, or charger can extend the life of another identical unit.

Standardisation also improves the resale value of decommissioned equipment. A batch of 50 identical laptops is far easier to sell or donate than 50 different models in varying conditions.

Embrace Refurbished and Remanufactured Equipment

Buying refurbished IT equipment gives devices a second life and reduces demand for new manufacturing. The environmental impact of manufacturing a new laptop is significant, with estimates suggesting that 70-80% of a laptop’s lifetime carbon footprint comes from production, not use.

Refurbished business-grade equipment from reputable suppliers comes with warranties and has been tested to ensure it meets performance standards. For many business applications, a refurbished device from two years ago performs identically to a new entry-level device, at a fraction of the cost and environmental impact.

This approach is particularly effective for roles where computing demands are modest: reception desks, point-of-sale terminals, general administration, and training rooms. There’s no need for the latest hardware when the primary tasks are email, web browsing, and document editing.

Manage Accessories and Peripherals

The focus on e-waste reduction often centres on major assets like laptops and monitors, but accessories and peripherals generate a surprising volume of waste. Cables, chargers, mice, keyboards, headsets, and USB hubs are frequently replaced, often unnecessarily.

Simple strategies make a difference here. Keep a pool of spare peripherals from decommissioned workstations rather than buying new ones every time. Standardise chargers where possible, and the shift toward USB-C is helping with this. Provide quality peripherals that last rather than cheap ones that break within months. Set up a collection point for unwanted but functional peripherals so they can be reissued rather than discarded.

Consider As-a-Service Models

Device-as-a-Service (DaaS) models shift the responsibility for lifecycle management to the provider. Under a DaaS arrangement, you lease devices rather than owning them, and the provider handles maintenance, upgrades, and end-of-life processing.

Good DaaS providers have strong incentives to maximise device lifecycles because they retain ownership of the hardware. Devices that come back from one client are refurbished and deployed to another, extending their useful life. This model also smooths out capital expenditure into predictable operating costs.

It’s worth investigating the provider’s end-of-life practices before signing up. Ask where devices go when they’re truly end of life, what recycling partners they use, and what data destruction processes they follow.

Track and Measure Your E-Waste

You can’t reduce what you don’t measure. Implementing basic tracking of e-waste generation gives you visibility into where waste is coming from and whether your reduction efforts are working.

Start with simple metrics: the number of devices disposed of per quarter, the average age of devices at disposal, the percentage of devices that went to reuse versus recycling, and the total weight of e-waste generated. Over time, these metrics reveal patterns. If a particular device model consistently fails early, that informs future procurement. If one department generates disproportionate waste, that’s worth investigating.
