Event management companies deploy large quantities of equipment for specific events or seasons, including radios, tablets, laptops, and specialised event management hardware. These devices are issued to event staff, volunteers, and contractors for the duration of each event, then collected and stored until the next deployment.

Scale of the challenge: A mid-sized retailer hiring 50 temporary staff for Christmas might cycle 50 devices through two or three seasonal workers each over a 12-month period. Without between-user sanitisation, each device could contain residual data from multiple previous users by the end of the year.

Risks of Inadequate Between-User Sanitisation

The most obvious risk is that seasonal workers can access the previous user’s data. Personal emails, saved passwords, documents, and application data left on a device from the last user are accessible to anyone who receives that device next. This creates both a privacy breach for the previous user and a temptation for the current user.

Cross-contamination of business data between seasonal periods is another concern. A temporary worker in the December retail season who left customer complaint notes, pricing discussions, or staff communications on a shared device could have that information accessed by a completely different temporary worker hired for the Easter period months later.

Credential reuse is a particular risk with seasonal equipment. If the previous user’s credentials remain cached on the device, the new user may be able to access systems and data that they are not authorised to use. This is especially problematic if the previous user had access to sensitive systems during their assignment.

When seasonal equipment eventually reaches end of life, the accumulated data from multiple users across multiple seasons creates a concentrated data exposure. A single device that has been used by fifteen different seasonal workers over five years contains fragments of data from all of them.

Building an Efficient Seasonal Equipment Process

The key to managing seasonal equipment securely is building sanitisation into the standard onboarding and offboarding workflow. When a seasonal worker returns a device at the end of their engagement, the device should be sanitised before it goes into storage or is issued to the next user.

For high-volume seasonal operations, batch processing is the practical approach. At the end of each season, all returned devices should be collected, inventoried, and processed through a sanitisation workflow. Using bootable sanitisation tools that can wipe multiple devices simultaneously through a network-based approach makes batch processing efficient even for large device fleets.

For devices that cycle between users within a single season, implementing user profiles through a device management platform allows for rapid switching between users without data cross-contamination. Each user gets a clean profile, and the previous user’s profile and data can be removed when they offboard.

Mobile Device Management (MDM) platforms simplify seasonal device management significantly. MDM allows for remote provisioning and de-provisioning of user profiles, application management, and selective data removal. When a seasonal worker finishes, their profile and associated data can be removed remotely, leaving the device ready for the next user.

End-of-Life Disposal for Seasonal Equipment

Seasonal equipment that has reached the end of its useful life should undergo full NIST 800-88 compliant data sanitisation before disposal, donation, or recycling. Given the multiple users who have cycled through each device, a thorough wipe at end of life is especially important.

Organisations with large seasonal device fleets should consider engaging a certified IT asset disposition provider for annual or bi-annual disposal runs. Timing these disposal events to coincide with seasonal equipment refreshes, replacing aging devices with new stock before the next peak season, creates a natural cycle that integrates disposal into the equipment management process.

For devices being donated after their service life, the same thorough sanitisation applies. Equipment that has been used by multiple seasonal workers contains a broader data footprint than single-user devices, making proper data destruction before donation even more critical.

Policy and Documentation

An equipment management policy that specifically addresses seasonal devices ensures consistent handling year after year, regardless of who is managing the seasonal workforce. The policy should specify sanitisation requirements between users, end-of-season processing procedures, storage security for off-season equipment, and end-of-life disposal standards.

Maintaining a log of device assignments, linking each device to the seasonal workers who used it and the dates of each assignment, supports both security management and compliance. If a data incident is identified, this log enables rapid identification of which users were affected and which devices need investigation.

Seasonal equipment management is a recurring operational task, not a one-time project. Building robust, repeatable processes that run smoothly each season protects the organisation, its permanent staff, and the seasonal workers who contribute to peak-period operations.
